Administrative Assistant
Due to the recent resignation of the incumbent, the Township of Pickle Lake is seeking applications for the position of Administrative Assistant. Reporting to the Clerk-Treasurer, the successful applicant will;
· Provide in-person and telephone front counter service to the public
· Receiving, administering and processing payments (produce receipts) made to the Township re. municipal taxes, water and sewer, internet, etc.
· Reconciling daily receipts and make bank deposits
· Assist with the preparation of Council meeting Agendas/packages as required
· Responsible for maintaining office equipment and supplies
· Make travel arrangements for Council and senior staff
· Provide administrative support for Council, Clerk and Treasury staff
· Deputy Returning Officer for municipal elections
· Responsible for operating the Ministry of Transportation (MTO) Driver’s Licensing and Vehicle Issuing Services (eg. Transfers, registrations, special permits, licenses and license renewals) and the Ministry of Health’s Health Card services (eg. Issuances and renewals)
· Will also be expected to learn and/or perform clerk and treasury related duties as required
The ideal candidate will be a results-oriented self starter, who is detail conscious and enjoys working with the public. Experience in a municipal setting is preferred, but is not a requirement. Deputy Clerk-Treasurer
Due to the resignation of the incumbent, the Township of Pickle Lake is seeking applications for the position of Deputy Clerk-Treasurer. Reporting to the Clerk-Treasurer, The successful applicant will;
· Coordinate and administer accounts receivable and payable processes, including preparation and distribution of cheques
· Process Township payroll (including applicable source deductions) and benefit administration, liaise between Township employees and benefit providers and maintain employee records
· Process utility bills (water, sewer, internet), undertake needed collection processes associated with the same and prepare reports associated with such transactions
· Fulfill Statutory roles of Clerk and Treasurer under the Municipal Act and related legislation when required
· Respond to account inquiries
· Process Municipal Licenses (eg. Lottery, special events, animal control, etc.)
· Prepare Council Agendas and Council packages and take Minutes of Council Meetings
· Research and prepare resolutions and By-laws
· Maintain Cemetery records and
· Perform other duties as required
The ideal candidate will be a highly motivated, detail conscious, results-oriented individual who has several years experience in a Municipal financial or related environment. This individual must enjoy working with the public and be a team player. The Township is a progressive employer and may consider a candidate with lesser than preferred qualifications and experience in an underfill capacity. Remuneration will be based on qualifications and experience. Such an individual would need to be prepared to take training and upgrading related to this needs of this position.
